Booking Process, Deposits & Payments (Agent Reference)

HOW DOES THE BOOKING PROCESS WORK?
​
1) REQUEST A QUOTE / START A RESERVATION
​
Contact our Travel Agent Specialist by phone or email. We’ll walk you through the available booking options
and help match the best sailing and stateroom category to your client’s needs.
2) PROVIDE REQUIRED BOOKING DETAILS
​
Please have the following ready:
• Sailing / itinerary and sail date
• Stateroom category (and 1–2 alternates)
• Guest legal names (as shown on travel documents), dates of birth, and contact info
• Any special requests (dietary needs, celebrations, accessibility needs, etc.)
3) PAYMENTS DUE AT TIME OF BOOKING (IMPORTANT)

A) Taxes, Fees & Port Expenses (additional; due at booking)
• 3‑Night itinerary: $66.40 per person
• 4‑Night itinerary: $88.40 per person
• Cruise & Stay: $100 per person
B) Deposits (per person) — NOTE: Deposits are itinerary‑based (not a flat “Suite vs Non‑Suite” amount)
Standard Individual Deposits:
• 3‑Night / 4‑Day Cruise: NO DEPOSIT
• 4‑Night / 5‑Day Cruise: $200 per person deposit
• 7‑Night / 8‑Day Cruise: $250 per person deposit
Group Deposits:
• 3‑Night / 4‑Day Cruise:
– Interior & Ocean View: $75 per person
– Suites: $150 per person
(Final payment timing differs for this group product—see “Final Payment” below.)
• 4‑Night / 5‑Day Cruise: $150 per person
• 7‑Night / 8‑Day Cruise: $200 per person
• For groups/charters, always follow the Group Proposal if it lists different terms.
4) CONFIRMATION & INVOICE

Once the booking is confirmed, we’ll issue an invoice/confirmation reflecting:
• Cruise fare and stateroom category
• Taxes/fees/port expenses collected
• Deposit collected (if applicable)
• Final payment due date
FINAL PAYMENT (BY PRODUCT TYPE)

• Standard 4‑Night / 5‑Day and 7‑Night / 8‑Day bookings: Final payment is due 75 days prior to sailing.
• Group 3‑Night / 4‑Day bookings: Final payment is due 60 days prior to sailing.
• Cruise & Stay / some group products: Final payment may be due 60–75 days prior (verify on invoice/group proposal).
CANCELLATION POLICY (SUMMARY)

• More than 60 days prior to sailing: No charge
• 59–46 days prior: 50% of total fare paid OR standard deposit amount (whichever is greater)
• 45–31 days prior: 75% of total fare paid OR standard deposit amount (whichever is greater)
• 0–30 days prior: 100% of total fare
CHANGES / NAME UPDATES (SUMMARY)

• Sailing date changes: Administrative fee may apply, plus any fare difference (changes not permitted inside 7
days).
• Guest substitutions: Fees may apply depending on timing; substituting all guests is treated as a cancellation.
OTHER IMPORTANT “WHAT’S DUE ONBOARD” REMINDERS (FOR CLIENT EXPECTATIONS)

• Gratuities and a fuel supplement are additional and are automatically added onboard (amount varies by
stateroom type).
• A standard service charge applies to onboard purchases.
TRAVEL PROTECTION
​
We strongly recommend Travel Protection for your clients (helps mitigate financial impact from covered cancellations, interruptions, medical issues, or baggage delays). Offer at time of booking when possible.
TRAVEL DOCUMENTATION REMINDER
Guests must have proper travel documents at embarkation. We recommend traveling with a passport valid for at least, six (6) months beyond completion of travel, to support smoother debarkation and flexibility if travel is disrupted.
NOTES

• Policies, fees, and due dates may vary by promotion and product type (especially groups). The confirmation invoice, Group Proposal (if applicable), and Ticket Contract/Cancellation Policy govern.
